Venue Co-ordinator

Salary: £20,000 pro rata - part time - fixed term

Warwickshire Wildlife Trust is committed to growing our membership to enable us to continue our work for nature conservation work across Warwickshire, Coventry and Solihull - for people, for wildlife, for the future. We require a Venue Co-ordinator who can ensure the availability of quality venues to maximise the membership opportunities within a pre-established geographical area for face 2 face recruitment by identifying, booking, confirming and allocating venues and events to the face 2 face recruitment team.

 

The Wildlife Trusts are a nationwide network of local charities dedicated to protecting and enhancing the natural environment, and engaging people. Together the Trusts have nearly 700,000 members throughout the UK and look after over 2,500 nature reserves. Warwickshire Wildlife trust has over 23,000 members across Warwickshire, Coventry and Solihull.

Warwickshire Wildlife Trust works to protect local wildlife and wild places for the future by; campaigning for wildlife, looking after over 56 nature reserves, working with community groups and through projects for schools and young people. The Trust runs two Visitor Centres, aiming to bring people and nature closer together through events, activities and educational programmes. Warwickshire Wildlife Trust is a membership organisation with over 23,000 members across Warwickshire, Coventry and Solihull. We rely heavily on volunteers to support our work and we have over 600 dedicated volunteers.

Role Purpose
To identify, book, confirm and allocate quality venues to the face 2 face recruitment team within a pre-established geographical area.

Accountable to
Reports directly to the Membership Manager

Key Responsibilities:

  • To ensure the availability of quality venues to maximise the membership opportunities for face 2 face recruitment.
  • To send a consolidated schedule to the Recruitment Manager & County Coordinator 48 hours prior to issue.
  • To issue individual work schedules to recruiters on Excel for a minimum of three weeks of venue bookings, 5 days in advance of commencement.
  • To issue copies of venue confirmation letters to recruiters in support of theschedule.
  • To schedule venues appropriate to calendar and frequency. i.e. Half term venues, Seasonal venues.
  • To assess quality of venue from recruiter feedback and recommend a venue grading for future use.
  • To input venue information into data base for recording and analysis.
  • To maintain confidentiality relating to status of venues.
  • To prepare an annual show list for budgeting and planning.
  • To share information and best practise with other Venue Co-ordinators.

Personal Specifications

  • Excellent verbal communication skills
  • Excellent administrative skills with attention to detail
  • An ability to build rapport with owners/organisers of venues and events
  • An ability to find and book large volume of appropriate recruiter venues across a number of Wildlife Trusts
  • An experience of booking a variety of different types of recruiter venues including national shows
  • Self –motivated
  • Reliable
